Dear Passenger! Welcome aboard of Drupal commons!

Our task for the NGO is to “introduce Drupal Commons to an international group of professionals with a diverse cultural background”.

And we started with figuring out, who our target group is and what problems they might face while starting to use a new network.

Here is the brief overview:

  • There 200 people from all over the world (the number rapidly grew last year)
  • They change every 4-5 years
  • They meet 1-2 times a year to align the information
  • People are mostly concentrated on their direct duties
  • They travel a lot or spend a lot of time in the field
  • IT-staff is not necessarily there in every office 
  • There is a lot of other software being introduced at the same time

So the main problem is Drupal being an additional load for hard working people. There are two ways to change the situation: make motivation clear, showing that it’s worth it and comfort them, showing that it’s not hard to get used to it.

We chose two strategies to reach this goals:

  • team work as a basics to introduce and give some personal attention

As long as we know from the 4th week that “small teams work better”, we would propose our NGO to choose one person responsible for implementing the platform (ambassador) and make sure that he or she spends some time talking to each member of the group.

  • home page layout as a way to promote the new things that are coming with Drupal  

"Welcoming" has always been something that sets the tone of overall communication. In Russian tradition it is bread and salt ceremony that is to show the guest how important he or she is. The book always starts with foreword. For the on-line communication it’s the homepage.     

The homepage of internal network can include: motivation elements (in the shape of small icons always available, like here); comforting-welcoming elements (video to say “hi” in different languages, interactive tutorial with arrows). The last but not the least point is a possibility to receive an up to date feedback from users (small forum), also showing that every point of view is important.

FeedBACKING up

In these weeks we were pointed at some pretty cool and helpful subjects such as crowdsourcing and funding but this week’s subject, marketing and customer support is a game changer, at least for my group in my opinion.

Our challenge being how to introduce a platform to Solidaridad our NGO which is an international organization filled with workers all over the globe and who work in different areas and with different products that at this moment work in separate platforms or communities, talking and sharing data in no official way or place, is really hard, people are used to this way of working, what they don’t know is that it would be much easier to work with everyone in only one ideal place for the whole organization, and that is our job, to help convince them that it in deed is the best way to work.

And that is where the customer support subject from this week kicks in, if we manage to give the right suggestions(hopefully we will) and it ends up working, the customer support is a way for the employees and employers to give their own feedback on how the new intranet is going, if it needs any kind of change or if it really is what they needed, it’s our job to make the right suggestions but the NGO is the one who is making the decisions and last but not least, they are the ones who decide the budget.

Don’t get me wrong all the other subjects from the past weeks are really important as well but this one is what will help us the most. the first reason as I said with the use of customer support the workers will have a say in what the NGO is doing in terms of the new intranet, after all it is for THEM, every comment or suggestion will be of use and will help them improve and solve what’s wrong.

The second reason is for the users, when they have trouble understanding how it works, if at some point during the use or if something is going to be added, any kind of new feature, someone is always going to have some problems with it and the NGO probably is not going to give tutorial on how to use everything, specially not when little things are added, so the customer support will be of great help for the ones without the gift of “fast web understanding” that most young people have.

And the third reason why this week’s subject is superior to the others in terms of helping our group’s project isn’t as much for the NGO as it is for us, Solidaridad surely has their marketing experts to help them, but we don’t, the marketing part of this week is helping us sell our own suggestions in a better way or maybe in a clearer way, a way that they will see our point and understand more easily WHY they really do need to use the new intranet, from the information we’re passing on to them, which involves all the other weekly subjects. Marketing is what makes every idea sound cooler.

The marketing and customer support part seems to be more important for me then for other people in other groups or maybe even in my group, it’s a bummer because I really think it would help but as Luca and Siras from group 6 said they are having the same problem as my group, not receiving as much information from NGO about the intranet as we were promised so without that it’s kind of hard to think about customer support, because we don’t know what is the stage the intranet is on, if it’s ready or if it’s going in the right direction for them. So as Maarten said in one of our classes…”sometimes you have to KILL YOUR DARLINGS”

week 7#

We almost done our project communities lesson, we are in week 7, and week 8 is the deadline of our works, media presentation. Actually at the beginning of Project Community I was a little bit confused. I have no idea about this class; just introduce Drupal to our NGO? But during the 7weeks, I understand it is not such easy thing, we explored the four segments, what could Drupal support and what our NGO most needed, the end work and the most important work for our group is – put our experience of teamwork, our knowledge of four hands, our technology and design skills into this project, give our NGO the most suitable suggestions as a video.

 

Last week we were meeting on Wednesday, we thought we are going right and pretty ok, we could finish everything before the deadline, but we fund we still have a lot work to do after our tutor’s advice, it was not feeling good of every group member, I remember the meeting start at 3.45 end at 7.45, we made a completed storyboard and divided different tasks to everyone, we made a timeline that could make sure we could finished every work before the deadline. After the meeting, even though we know we got a lot of work to do, but we are in a right way, we could have a well done in the end, we are confidence.

 

So what the best way to meet our NGO’s need is? After we exploring crowdsourcing, teams, and crowdfunding, marketing, I think I got the result, merge those four parts because every part have it unique advantage.

Our NGO needs to have a platform to connect “me, we, network”, to exchange document and knowledge, Solidaridad has 10 regional expertise centers around the globe working together, the intranet platform of internal communications & community are very needed – Drupal commons.

-They can share their documents and learning in this platform, there is a function like Dropbox, -you can download the useful document that uploaded form other member.

-There have an inbox function, you could send message in everywhere and every time.

-They could organize online meeting like Google hangout, it really saving time.

-It has an event timetable that you can check in order to meet the time.

-Everyone has their personal zone, it include personal detail and your personal blog.

Until now, Drupal looks like an internal platform, what we want to do is to improve the level to marketing strategy. We have learned about Crowdsourcing and Crowdfunding, how could those thing help Solidaridad’s marketing strategy, a way for the client to gain access to potential users.

People’s power is stingless, why don’t Solidaridad use the power form internet, collect the marketing strategy from crowdsourcing platform? This way is better than just collect the opinion form employee, it is low-cost, and fast, it also builds the relationship with their customers.

In the other hand, Solidaridad could put their marketing strategy in crowdfunding platform, Solidaridad could not only collecting funding but also get more fans of their organization, the contributor would pay more attention to their project, and come up with more idea to the development.

I believe we will have a good ending, not just a belief, we need hardworking now.
